Terms of Service

Last updated: 13 October 2026

The terms that apply when a business or individual uses PayRivo.

1. Who we are

PayRivo is a product and trading name of Rivo Bookkeeping & Payroll Services Ltd, a company registered in England and Wales with company number 07109621. Our registered office is 4 Marlin Office Village, 1250 Chester Road, Birmingham, Castle Vale, United Kingdom, B35 7AZ. Contact us at support@payrivo.co.uk.

2. The service

PayRivo provides payroll workflow, employee records, secure document storage, holiday and RivoShift tools, billing support and related optional services. The exact services available depend on the plan and any add-ons selected at checkout.

3. Accounts and access

You must provide accurate account information, keep credentials confidential and ensure that only authorised people use your account. A business customer is responsible for its Primary Admin, managers and all activity carried out using its account.

4. Your responsibilities

Business customers remain responsible for the accuracy and completeness of payroll data, statutory submissions, tax, PAYE, pension duties, payment of employees and HMRC, employment decisions, approvals and communications with employees. PayRivo tools and reminders do not replace professional legal, tax, employment or financial advice.

5. Fees, renewals and payment

Subscription and optional-service fees are shown before purchase. Recurring fees are charged in advance on the billing cycle shown at checkout. One-off setup fees are charged when selected. If payment fails, we may restrict or suspend paid features until the account is brought up to date.

6. Cancellation and account access

To request cancellation, email support@payrivo.co.uk. Cancellation takes effect at the end of the current paid billing period. We will not take a further recurring payment after cancellation has been confirmed before the next billing date. Access may end when the paid period ends. Requests for export or deletion of personal data are handled in accordance with the Data Processing Agreement, applicable law and any retention obligations.

7. Refunds and consumer rights

Payments are non-refundable once made, except where a refund is required by applicable law. Nothing in these terms removes any mandatory consumer cancellation or refund rights that apply to you.

8. Acceptable use

You must not misuse the service, upload unlawful or harmful material, attempt unauthorised access, interfere with security, use the service to infringe another person’s rights, or use PayRivo in a way that breaches applicable law.

9. Availability, changes and support

We aim to provide a reliable service but do not guarantee uninterrupted availability. We may maintain, update or improve the platform. Where a material change affects your use of a paid service, we will take reasonable steps to communicate it in advance.

10. Suspension and termination

We may suspend or terminate access for non-payment, security reasons, unlawful use or a material breach of these terms. On termination, data handling is governed by the Data Processing Agreement and applicable law.

11. Liability

Nothing in these terms excludes liability that cannot legally be excluded. Subject to that, PayRivo is not responsible for indirect or consequential loss, loss arising from inaccurate customer input or delayed customer approval, or decisions made solely on automated guidance. This clause is subject to review and any statutory consumer rights that apply.

12. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction, except where mandatory law says otherwise.

These documents provide general information about PayRivo’s service and data handling. They are not legal advice. They should be reviewed by a qualified UK solicitor before reliance for a regulated activity, bespoke enterprise agreement or a material change in service.
